Welcome to the Student Recreation Centre Policies and Code of Conduct Page
At Conestoga's Student Recreation Centre, we are committed to creating a safe, inclusive, and respectful environment for all students, members, and guests. This page outlines the rights, responsibilities, policies, and expectations that guide your experience within our facilities. Whether you're accessing the Centre for fitness, recreation, or wellness programming, we ask that you review and follow the guidelines below to ensure a positive experience for everyone.

It is a requirement of all members to follow the Member Code of Conduct within the Centre and/or while participating in activities to support a safe and inclusive wellness environment for all members.

Member Access
- Membership is required to access the Centre and all programming.
- All Conestoga students who have paid athletic ancillary fees for the term are automatically members of the Athletic and Recreation Centre. This includes part-time and full-time students.
- ONE Cards must be scanned to gain access.
- ONE Cards or Sport & Rec membership cards must be scanned at the turnstile to access our facilities. Cards are not transferrable.

Member Rights
- To Be Safe: Safety and security are important within the Centre. Members have the right to use the Centre free from harassment and/or discrimination and to be treated with respect and dignity.

Member Responsibilities
- Respect for Persons: Members have the responsibility to respect the well-being and personal worth and dignity of all the College's students, employees, and affiliated members.
- Respect for Property, the Centre, and the College Reputation: Members have the responsibility to respect the College's property and represent the College in a positive manner. This includes communicating and treating the Centre staff and users with dignity, respect, and care and complying with the direction received from employees of the College's Athletics & Recreation Department.

Conestoga is committed to ensuring a safe and respectful educational environment for everyone. We treat everyone with respect, dignity and courtesy. We expect the same behaviour from those we serve.
Students must abide by the Student Rights and Responsibilities policy. All athletics and recreation Members must abide by this Code of Conduct, Recreation Centre Policies and all other federal, provincial, and local laws, orders, directives, and guidelines related to my use of the Centre:

Privacy
- Conestoga College respects your privacy.
- Personal information provided is collected for purposes related to the administration of your athletic membership. We will send notices and communications related to your membership to the email address that you provided.
- At all times personal information will be protected in accordance with the Freedom of Information and Protection of Privacy Act (FIPPA).
- This information is collected under the legal authority of section 2 of the Ontario Colleges of Applied Arts and Technologies Act. For more information, you may contact Conestoga College's Privacy Office at: privacy@conestogac.on.ca.

Safety, Health & Wellness
- All Members acknowledge and accept the risks inherent to participation in sports and recreation activities.
- Injuries may result from one's actions, or the actions of others, or a combination of both. Personal behaviour during programs and services should be conducted in consideration of other members and guests.
- In case of personal injury or accident, facility staff should be contacted immediately.

Proper Equipment Use
- For everyone's safety, clips must be used on barbells regardless of weight.
- If you are unfamiliar with equipment and machines, ask staff for assistance.
- Avoid bouncing or dropping weights and weight stacks.
- Select recreational sporting equipment is available to Members for rent and use on-premises. Members will be held financially responsible for the replacement cost of rental equipment that is lost, stolen, or damaged upon return.

Equipment Clean Up
- Members must clean each machine after use and dispose of wipes in the trash.
- Please put all equipment away after use.

Proper Fitness Attire and General Policies
- Street clothes or jeans are not permitted.
- Dry, closed-toe athletic shoes are required.
- Dress shoes, boots, or open-toed shoes are not permitted.
- Please leave all your personal belongings locked in the changing room.
- Gym bags are not permitted in the fitness centre and walking track. Bring your lock to secure your items in the change room or buy a lock from the front desk.
- Small waist bags are permitted in the fitness centre and walking track.
- Lost and stolen items are not the responsibility of the Athletics & Recreation Department.
- Headphones must be worn to listen to personal music, external speakers are not permitted.

Private instruction, coaching, and organized practices
- Conestoga does not allow any external training of any kind within the Centre; personal trainers who are not actively employed by Athletics & Recreation or approved under the Fitness & Health Promotion academic requirements are not permitted to train clients in the Centre, this includes virtual training.
- All formal instruction, including personal training, coaching, instructing, or specialized sports training, must be conducted exclusively by either Conestoga College Athletics & Recreation staff members, or approved under the Fitness & Health Promotion academic requirements.
- Students, Members, and visitors are not permitted to conduct or solicit any form of business within the facilities (e.g., personal training, private lessons)
- No organized practices or training are permitted during any drop-in recreation time.

Photo, video and mobile devices
- Photography and recording devices, including the use of camera phones, are prohibited in all facilities.
- Voice calls are not permitted.
- Exceptions can be made only with advance permission of the Athletics & Recreation.

ONE Card - Centre access
- You are the only person entitled to use your card; cards are non-transferable.
- Using another person's ONE Card is not permitted and may result in suspension of access.
- Your card will work 24 hours after picking it up from the ONE Card office.
- Bring your ONE Card for each visit to the Centre. Your card will grant you access to the member areas. Please tap your ONE Card at the gates near the Front Desk. Upon entering the Fitness Centre area on the second floor, you must bring your card to tap in at the Fitness Centre Desk.
- If you are an online student or remote employee, please pick up a ONE Card from the ONE Card office before purchasing a membership. You can purchase your membership online or in person 24 hours after pick-up.

Forgot card
- Students and Members may access the facility without their One Card/Sport & Recreation membership card. Please provide your student number or name to our staff at the turnstiles.

Cancellation Policy - Bookings and Program Registrations
- Please utilize the options available within the booking system to cancel your reservations if you cannot attend your time slot.
- You can review and cancel all your bookings online.
- Failure to do so on several occasions may lead to suspension of privileges.



Membership Refund Policy
- Athletics and Recreation endeavors to create a welcoming atmosphere for all user groups. Should you require a refund each case will be considered on an individual basis.
- Membership refunds must be submitted to reccentre@conestogac.on.ca or in person.
- Membership refunds will be pro-rated based on the date of the request and the length remaining on the membership. Refund payment will be received using the original method of payment.
- Payroll deduction cancellations must be provided by email to reccentre@conestogac.on.ca and payroll@conestogac.on.ca by the 1st day of the month, or the member will be charged for that month.
- Members who have Centre privileges revoked for behavioral, or policy noncompliance reasons are not eligible for reimbursement for fees or time lost.

Rule violations and suspension of memberships
- Athletics & Recreation staff members have the authority to suspend membership rights and privileges when offending behaviour is exhibited by a member.
Offending behaviour may include but is not limited to:
- disorderly conduct,
- harassment,
- disruptive behaviour,
- misuse of fitness equipment,
- persistent disregard of facility rules and regulations,
- default in payment of membership fees,
- unauthorized entry (using another person's card), and
- assisting a non-member with unauthorized entry (sharing of membership cards or assisting with entry).

Failure to abide by department and College policies may lead to suspension of privileges and may be referred to Student Rights and Responsibilities and Security for further review. Refunds will not be given for loss of privileges due to breach of Code of Conduct.

All vehicles parking on Conestoga property must have a valid permit or pass. Parking is enforced Monday to Friday, from 7 a.m. to 4 p.m. Conestoga uses Licence Plate Recognition (LPR) software to monitor campus parking lots meaning no physical permits are issued or required. LPR technology uses character recognition to scan licence plates. Unregistered vehicles found within college parking lots will be ticketed.

For those not in possession of a valid permit or pass, visitor parking is available for purchase for hourly or daily on-campus parking via the HonkMobile app.
